Workday Process for Work Study

Employers will need to create their Work Study position(s) in Workday. Employers will have to create a Job Requisition in Workday, linked to pre-established Job Catalogs. This link will determine the rate of pay and whether the job is eligible for Work Study subsidy consideration. The Job Posting can be initiated in Workday or used to copy for posting anywhere, including myFuture.

A pre-defined set of casual positions within McGill’s Job Catalog are declared as Work Study-eligible:

  • Any job from the Admin & Support Catalog that falls within AMUSE
  • Only Graduate and Undergraduate research assistants from the Student Job Catalog

Work Study job opportunities are posted in myFuture, the platform managed by Career & Planning Services (CAPS), and where all student opportunities exist in one place. Work Study jobs will be specially flagged so Work Study-eligible students can identify the priority bank of jobs dedicated to them. Employers control postings going up and down so they remain current.

Steps Description
1. Create Job Requisition Refer to the Workday Knowledge Base support aids for more details on how to proceed. Take note of the Supervisory ORG Unit associated with the position.  This MUST be the same Supervisory ORG Unit that you requested subsidy hours for.
2. Ensure Job is Work Study eligible

3. Post the Job We strongly encourage you to post the position in MyFuture. Refer to guide - How to Post in MyFuture.  Access is required to login to MyFuture.  Questions may be directed to the careers.caps [at] mcgill.ca (CAPS office email).

Pay and working conditions

IMPORTANT: Work Study employees fall under the “McGill Casual Employee” job category. It is the responsibility of the employer to adhere to the appropriate Collective Agreement governing a McGill Casual Employee, especially regarding the minimum rates of pay.

2022–2023 academic year

FALL - 202209 Max. weeks 18 September 4, 2022, to January 7, 2023*
WINTER - 202301 Max. weeks 16 January 8, 2023, to April 29, 2023*
SUMMER - 202305 Max. weeks 18 April 30, 2023, to September 2, 2023*

2023–2024 academic year

FALL - 202309 Max. weeks 18 September 3, 2023, to January 6, 2024*
WINTER - 202401 Max. weeks 17 January 7, 2024, to May 4, 2024*
SUMMER - 202405 Max. weeks 17 May 5, 2025, to August 31, 2024*

All Work Study jobs must fall within these dates. *Subject to change in accordance with Payroll work schedules.
