Meetings and workshops

Are planned and organized assemblies of individuals within regular (i.e. routine) academic or curricular, research, or work-related activities. 


Are planned and organized assemblies of individuals outside of regular academic or curricular, research, or work-related activities; in other words, they are one-offs or special occasions and require approval. 

As of Fall 2023: Please download and complete the Macdonald Campus Event form to request approval for all events, including:

  • All Macdonald Campus outdoor events
  • All events planned before 8h00, after 17h00, or on weekends/holidays
  • All events planned for the Macdonald-Stewart Foyer
  • All student-led events (exception events taking place in the CC Ceilidh)
  • All events where alcohol will be served (exception events taking place in the CC Ceilidh)

Applications must be submitted to Academic & Administrative Services in person (Laird Hall 103) or by macdonaldevents [at] (email) at least 10 working days prior to the event.

Virtual gatherings remain a viable and inclusive option for meetings and events.

General Guidelines

  • Requests are responded to in the order in which they are received.
  • Room reservations are subject to availability.
  • All requests must be submitted with a minimum notice of one business day.
  • Requests are managed Monday-Friday, from 8h30 - 15h30
  • You will receive an automated email confirming we have received your request
  • If the requested room is not available, you will be notified by our room booking staff.

Room Set-Up

  • You are responsible for room set-up. Please return the room to its default set-up after your meeting.

Audiovisual Needs

  • IT/AV requests should be submitted on the IT Services Audiovisual Equipment loan form (login required)
  • If you require an OWL for a hybrid meeting in one of our conference rooms, please submit a request to reserve the unit through our jo-ann.zdaniak [at] (Dean’s Office). This service is available to faculty and staff only.
