Hiring decisions are at your discretion, however you’ll only receive a subsidy if you hire a Work Study-approved student.
Once your Work Study hours are approved, it’s time to start hiring!
- Create a job requisition in Workday (this step for McGill employers only. McGill-affiliated employers skip to step 2).
Only the following jobs are Work Study eligible:- AMUSE: Any job from the Admin & Support Catalog.
- Only Graduate and Undergraduate research assistants from the Student Job Catalog
- Post the job in myFuture (recommended platform): Here, students can search for Work Study jobs. Applicants will contact you directly. Select position type “part-time” and job function “McGill Work Study” when creating the job posting.
- Verify student eligibility:
- Confirm that the dates indicated in the student’s Work Study confirmation letter correspond to the period you have been approved for.
- Social Insurance Number: The student must have or have applied for a Social Insurance Number. Read more about hiring international students.
- Add student(s) to payroll:
- McGill employers: Payroll must be set up in Workday, where students will also enter their time. If your department does not use Workday, work.study [at] mcgill.ca (email the Work Study team) to request special instructions.
- McGill-affiliated employers (MUHC, CKUT, SSMU): will use their own payroll system.
- Create a work schedule: Decide on a work schedule together. We recommend no more than 15 hours per week. Many students prefer to work 8-12 hours per week. Remember – they are students first!
Students must be paid at an hourly rate equivalent to or greater than the minimum wage in the current Collective Agreement.
Statutory holidays, overtime, and retroactive payroll increases are not eligible for subsidy reimbursement.
