You’ve been accepted to the Work Study program! What’s next? 

Request Work Study Subsidy Hours

McGill Employers

Login to the Work Study Management System to request subsidy hours (available as of July 1st for the upcoming academic year) 

  • Submit your request for the entire academic year (include fall/winter/summer).  Don’t worry – you can login anytime to request more hours if things change! 
  • Your request must cover all Work Study jobs that fall under a given Supervisory ORG unit code.  Submit one request per supervisory org unit code. Not sure what supervisory ORG unit code to use? Contact your local HR advisor.

How to Use the Work Study Subsidy Management System (McGill Employers only)

Login and select the Employer Dashboard to view the status of your request or adjust hours

Delegate Access to the Work Study Subsidy Management System (McGill employers only) 

Give members of your team access to the Work Study Subsidy Management System: partial access (can submit hours) or full access (can submit payroll information). 


McGill-Affiliated Employers (MUHC, CKUT, SSMU, etc) 

After you've been accepted into the Work Study program, you’ll receive an email with details about your request.   

Need more hours? No problem! Submit a new Access Request for a Supervisor from Affiliate Organization


 

How many hours should I request?

Tips to help you calculate how many subsidy hours you’ll need: 

  • The Fall, Winter, and Summer terms consist of 18, 18, and 16 weeks respectively.   
  • Work Study students should work no more than 15 hours per week (recommended). Many students opt to work 8-12 hours per week. 
  • Example: you want to hire 2 students for 15 hours per week for the Fall term.  30 hrs/week x 18 weeks = 270 subsidy hours for the Fall term.

Winter 2026/01 18 January 4, 2026 - May 9, 2026
Summer 2026/05 16 May 10, 2026 - August 29, 2026
