Outdoor Events

Outdoor events: Permission for outdoor events is coordinated by Campus Public Safety. If you are planning to hold an event on campus grounds, you require approval from our office.

Please submit your request a minimum of 10 days before the event to teresa.standing [at] mcgill.ca (Teresa Standing).  If you have any questions or require more information, please contact Teresa Standing at 514 398-4412.

Indoor events: Permission for indoor events is coordinated by Food and Hospitality Services. Please visit Event Bookings.


If your event will serve or sell alcohol, complete and submit the Alcohol Permit Form separately.  

Departments must submit their Alcohol Permit Form 10 working days before the event

Student groups and external organizations must submit their Alcohol Permit form at least 45 days before the event.

Step 1: Review the Guidelines for Outdoor Campus Events​.

The Guidelines address the majority of issues which may arise in planning your event (alcohol, BBQ, food, music, tents, furniture, rain, venue, cleaning, electricity, parking, safety, etc.).

Step 2: Fill out the Outdoor Application Form and save a local copy to your computer.

Step 3: Return your completed form to Teresa Standing via teresa.standing [at] mcgill.ca (email), or in person at:

1010 Sherbrooke St. West, Suite 500

Note: If your event will require a Fire Extinguisher, complete the Fire Extinguisher Loan Form and submit it separately.

Typically, the waiting time is one week. However, if a large-sized gathering is planned or if alcohol will be served, the waiting time may run from between four to six weeks.

The best advice is to apply for your permit well ahead of time. This means thoughtfully planning your entire event, giving attention to who will be attending and where the event will be held.
