Better Together: Strengthening Value Through Smarter Procurement

Simplifying procurement to better serve our community

As the University evolves, so must the way we procure goods and services. Across faculties, departments, and research units, thousands of supplier relationships have developed over time, often with overlapping contracts and solutions supporting similar needs. While this flexibility has supported local priorities, it has also led to inefficiencies, inconsistent pricing, and missed opportunities to leverage the University’s collective buying power. In alignment with Horizon McGill’s commitment to simplify and optimize processes, Procurement Services has launched a Contract Consolidation Initiative. This effort focuses on streamlining our supplier landscape and strengthening the value delivered to the McGill community.

Why this Matters

Contract consolidation is about making more informed, strategic decisions.

By identifying shared needs across units, we can:

  • Improve pricing consistency: ensuring that similar goods or services are purchased at uniform, predictable, and fair prices across the organization
  • Strengthen supplier relationships: Consolidation will reduce supply sources, which will lead to long-term partnerships with key suppliers.
  • Reduce duplication in goods, services, and technologies: A standardized approach will allow better control of purchases and ensure better traceability of expenses by category.
  • Ensure stronger compliance and risk management: Fewer suppliers will enable more rigorous performance monitoring and less dependence on unreliable suppliers
  • Streamline operations: Fewer suppliers will simplify procurement and administrative processes.
  • Optimize inventory and supply chain: Consolidation will reduce the number of suppliers and level of inventory.
  • Reduce environmental impact: a consolidated list of products will result in fewer shipments which will contribute to more sustainable logistics and a reduced carbon footprint.
  • Accelerate time to fulfilment: contract consolidation reduces the time from request to receipt of goods or services.

Of course, this does not mean we will force a square peg into a round hole. The goal is always to find the best solution to meet the community’s needs.

A collaborative approach

This initiative will only succeed through collaboration.

Procurement Services will work closely with faculties and units to better understand needs and identify opportunities for alignment. Input from end users remains essential to ensure that consolidated solutions support their needs effectively.

Looking Ahead

By working together to reduce duplication and align our sourcing strategies, we can build a more efficient, transparent, and sustainable procurement environment. This initiative represents an important step toward strengthening how we support teaching, research, and operations, while ensuring responsible stewardship of public funds and aligning with the University community’s needs and  Horizon McGill’s priorities.
