FEMR uses the Infinity core facility management system (Idea Elan) to manage all instrument reservations, equipment scheduling, billing, and usage tracking. This centralized platform ensures accurate record‑keeping, streamlined operations, and fair access to shared research infrastructure.
All FEMR users must obtain an Infinity account before booking instruments. Accounts are created after submitting a Project Form and confirming that the user has reviewed and understands FEMR’s shared facility policies.
Booking & Access Policy
The Facility for Electron Microscopy Research (FEMR) manages access to its shared research infrastructure through a structured booking system and defined user‑level framework. These policies ensure fair access, protect sensitive instrumentation, and support efficient, high‑quality research for all users.
1. Infinity X Booking System

Account Requirements

Every user must obtain an individual Infinity X account. Accounts cannot be shared.

Accounts are created after submission and approval of a Project Form and confirmation that the user has reviewed FEMR’s facility policies.

Users may only access FEMR instruments after completing required training and making a confirmed reservation through Infinity X.

2. Booking Rules
To ensure fair and efficient use of FEMR infrastructure:

All instrument use requires an advance reservation through Infinity X. Use of any equipment without a confirmed booking is not permitted.

Unless otherwise noted, all users have equal access to instruments and services on a first‑come, first‑served basis.

Billing is based on scheduled time, not actual time used. Users should book only the time they realistically need to avoid unnecessary charges.

Users must cancel reservations promptly if they no longer require the time slot, allowing others to use the instrument.
3. User Levels and Access Permissions
The FEMR assigns user levels to ensure that researchers operate instruments safely and responsibly.
Level 1 – Independent Users
Fully trained operators authorized to use designated instruments without supervision. To qualify and maintain Level 1 status, users must meet FEMR’s experience requirements and remain active on the instruments.
Level 2 – Supervised Users (Staff Available)
Users may operate instruments independently only when FEMR staff are present (typically weekdays 9:00 a.m.–5:00 p.m.). Access outside these hours requires prior approval.
Level 3 – Supervised Users (Direct Oversight)
Trainees who have completed general and advanced one‑on‑one training and are now operating instruments under direct staff supervision. This stage typically requires two to three supervised sessions before advancement.
4. Protocol Compliance and Instrument Alignment
To maintain instrument performance and ensure consistent data quality:

All users must follow FEMR’s standardized operating protocols. Operating outside these procedures without staff consultation is prohibited.

Microscope alignments are performed and documented by FEMR staff. Users may not adjust alignments independently.

If a user misaligns an instrument, realignment charges will be billed to their account or research group.
