How we will work with you to archive and delete websites
McGill's Digital Communications team has compiled a list of WMS sites that seem inactive or unmaintained. Units connected to these sites will be contacted to confirm whether the site should be archived before removal.
If a site on the list needs to remain active
The owner will need to identify a staff member responsible for updating the site to align with the Digital Standards and to prepare the site for migration. This must be done in a reasonable timeframe so it can be migrated to the new WMS platform. The unit must also commit resources to maintaining the site in the future.
What will happen to orphaned websites
Sites become "orphaned" if the original owner leaves the university and no one is designated to be responsible for the site's ongoing maintenance. In these cases, key administrators and site sponsors in the connected unit will be contacted.
What will happen to unclaimed websites
If no response is provided, the site in question will not be migrated to the new WMS platform. It will be deleted at the end of the migration project.
Why this is necessary
Unmoderated website creation and web management practices can negatively impact the health of our web ecosystem.
Areas of impact
- Experiences of people using our websites: For example, unmaintained sites might display outdated, duplicate content.
- Resources and staffing: For example, unnecessary use of resources for hosting and supporting irrelevant websites.
- Efficiency: For example, negative impacts on our ability to efficiently execute large-scale projects such as our new WMS migration project and the replacement of our eCalendar system.
These issues can also impede our ability to comply with legal requirements, including:
- Accessibility standards, including SGQRI 008 3.0 and WCAG 2.2.
- Privacy and security laws, including Law 25.
- Translation requirements, including Bill 96 (PDF).
