How to Book a McGill Elective

  1. The elective booking deadline, with submission of an electronic Elective Placement Form, is 8 weeks prior to the elective period start date.
  2. From the Elective Courses, select the desired elective.
  3. Contact the discipline elective coordinator for information on the elective and to confirm availability.  This does not constitute official booking of your elective but assists with planning.
  4. Click LOGIN and enter your McGill username (e.g. firstname.lastname [at] mail.mcgill.ca) and password in order to access your electives dossier.
  5. The system will not permit booking two McGill electives simultaneously.
  6. If it is more than 8 weeks before the elective period start date, your request falls within the deadline:
    • When you complete and submit an electronic Elective Placement Form, the system electronically transmits the elective request to the discipline elective coordinator indicated in the form. The discipline elective coordinator will determine whether or not the elective request can be accommodated and will respond electronically to each request received.
    • Until the elective shows as “approved” in your electronic electives dossier, it does not count towards curricular requirements. Once the elective appears as “approved” in the student’s online schedule, the elective is considered confirmed, and the department will contact the student with instructions regarding start date and rotation protocols.
    • NOTE: electronic approval is the only appropriate way to secure a McGill elective (e-mails and phone calls are not formal confirmations of an elective).
  7. If it is less than 8 weeks before the elective period start date, your request does not fall within the deadline.
    • The McGill Student Electives Coordinator must open the electronic Elective Placement Form in order for you to book an elective after the booking deadline. After the form is open, the steps are the same as for electives booked more than 8 weeks before the elective start date.
    • If you are facing exceptional circumstances (e.g. family emergency, personal illness, etc.), you must contact the Assistant Dean Student Affairs immediately for approval to book your elective late (i.e. after the deadline). If you have approval from the Assistant Dean Student Affairs, your elective can be booked late without notation of the late booking in your academic file.
    • If you do not have approval from the Assistant Dean Student Affairs to book your elective late, you will receive notification from the McGill Student Electives Coordinator that booking less than 8 weeks prior to the elective period start date is considered to be a professionalism lapse. The Associate Dean Undergraduate Medical Education (UGME) will be copied on the email to you and will follow up in accordance with the UGME Policy on Student Professional Behaviours.
  8. At the start of any McGill elective, you will be asked to provide your Collège des médecins du Québec registration number (E number) so that your supervisor can bill the Régie d’assurance maladie du Québec (RAMQ) for teaching activities.

Changing/Cancelling a McGill Elective

  1. Please select your elective carefully as changes are discouraged.
  2. Once an elective has been secured, requests for changes to dates and/or disciplines for a secured elective will only be processed through cancellation and re-application.
  3. The deadline for changing or cancelling a McGill Elective is 8 weeks prior to the elective period start date.
  4. The online electives system must be used to change or cancel an elective:
    • Click LOGIN to access the electronic electives dossier
    • View “Details” of the relevant elective and click the “Cancel” button at the bottom
  5. If it is more than 8 weeks before the elective period start date, your request falls within the deadline:
    • The elective is automatically cancelled
    • You are free to schedule another elective in that time period
  6. If it is less than 8 weeks prior to the elective period start date, your request does not fall within the deadline:
    • If you are facing exceptional circumstances (e.g. family emergency, personal illness, etc.), you must contact the Assistant Dean Student Affairs immediately for approval to cancel your elective late (i.e. after the deadline). If you have approval from the Assistant Dean Student Affairs, your elective will be cancelled without notation of the late cancellation in your academic file.
    • If you do not have approval from the Assistant Dean Student Affairs to cancel your elective, approval from the elective coordinator for the discipline is necessary for your elective to be cancelled. An electronic cancellation request will be automatically sent by the electives system to the electives coordinator for the discipline. If you are released from the elective, the elective will be cancelled and you are free to schedule another elective in that time period. If you are not released from the elective, the elective must be completed as initially scheduled.
    • You will receive notification from the McGill Student Electives Coordinator that cancelling less than 8 weeks prior to the elective period start date is considered to be a professionalism lapse. The Associate Dean Undergraduate Medical Education (UGME) will be copied on the email to you and will follow up in accordance with the UGME Policy on Student Professional Behaviours.
