With the removal of the global travel advisory, McGill will now be able to return to pre-pandemic travel conditions, allowing for freer movement of students, faculty and staff.

How To Book & Pay For Visitors

  1. It is possible to book University funded Visitors through McGill’s Travel Program using the University’s contracted Travel Management Company (TMC) – Direct Travel. For the pros and cons refer to the PDF icon Visitor Booking Guide
  2. Expenses incurred by Visitors in advance of the trip will not be reimbursed until after the event on their comprehensive Expense Report
  3. To facilitate communications with the travel consultant complete a Visitor Introduction Form
  4. Trip Cancellation Insurance is a reimbursable expense and should be considered for purchase. This insurance enables the University to be reimbursed for the costs associated with the Visitor cancelling the trip based only on the illness of the Visitor and his/her immediate family. Check with TMC for full details of coverage and limitations
  5. Visitor travel is to be approved in the same manner as individual travel
  6. Complete the FOAPAL form and obtain signed approval from Fund Financial Manager of fund being charged
  7. The FFM is the Claimant; signature by immediate supervisor of FFM is not required
  8. It may be advantageous to obtain and compare an option for an airfare that can be transferable in the event that the Visitor cancels (for reasons other than medical or if no cancellation insurance was purchased)
  9. Transmit the FOAPAL form to the TMC for processing
  10. The hotel reservation can be held using the Visitor’s personal credit card.  Upon check-in the Visitor is to present their personal credit card and upon check-out payment to be charged to the same card and reimbursed via an expense report
