University-sponsored travel continues to be suspended until further notice. Deans and unit heads (AVP level or above) may grant exemptions for mission-critical, time-sensitive activities within Canada, as well as select international activities.

How To Book & Pay For Hotels

Accommodations Table / Payment Chart

  1. For the University Program reservations can be held by processing a requisition through MMP (make sure to include Quebec Lodging Tax 3.5% as a line item)
  2. For the Guest Program and reservations outside the University Program can be held with the traveler’s personal credit card.
  3. It is the responsibility of the delegate or the traveler to follow the hotel’s cancellation policy, ensuring that all reservations are cancelled in time. Cancellation deadlines are based on the local time of the hotel. The University will not reimburse hotel cancellation penalties or charges due to negligence. To avoid disputes record the cancellation number
  4. At check-in verify room rate against the price quoted to you
  5. At check-out validate all charges
  6. The delegate/traveler is cautioned to refrain from booking accommodations on websites that may not provide the necessary insurances, warranties and consumer protection; i.e. online websites offering alternative types of accommodation
  7. Conference hotels may be booked directly through conference website or through the MOHP.
  8. McGill Hosted Meetings/ Conferences/Events booked at the MOHP can be processed and paid for through MMP.
  9. McGill Hosted Meetings/Conferences/Events in Montreal area (excluding MOHP hotels) and worldwide can be processed through McGill's Central Procurement PCard (subject to submission of Procurement PCard request form)
  10. Important to note that room nights that exclude MOHP hotels for conferences have to be paid by personal credit card and will can not be charged on Procurement PCard. Please view Payment Chart for details.
  11. Past experience proves that it is worthwhile to check the conference site hotel prices against the McGill hotel programs


Best Practices do not recommend prepaying accommodations; while initially this may seem to be cost effective, experience has proven it inflexible and restrictive


University Travel Registration Form for Faculty and Staff

It is imperative that you register your travel information using the on-line University Travel Registration form for Faculty and Staff. If you are not already logged in, you will be required to log-in for access.
