TMP Progress Report for 2013
Since the inception of McGill’s Travel Management Program last year, much progress has been made. We are pleased to highlight below the various programs that have been implemented for the benefit of McGill travelers.
Travel and Expense Survey
An extensive online survey was launched to the community in February 2013, targeting over 5400 employees. More than 1000 responses were received, indicating just how important this process is to our travelers. Valuable and pertinent information was gleaned and is being applied to the development of the Travel Management Program. It was fascinating to learn how far and wide McGill staff and students are traveling. To read more about our findings, please refer to Travel Survey Results.
To complement the survey, internal consultations took place within the faculties with travelers and staff involved in travel bookings and the expense reimbursement process. These consultations allowed for open dialogue and provided the opportunity for participants to raise some important questions and to voice any concerns. Summary reports were distributed to all participants following the consultations. If you would like a copy of the report, please forward your request to travel.
Contracts for airfare discounts have been concluded with Air Canada, Porter Airlines, WestJet and Delta, Air France, KLM and Alitalia. Complimentary lounge passes were offered on a limited basis. Savings are already coming in as a result of these contracts. Going forward savings should increase as contracting and usage is expanded. For further details visit Airline Contracts.
VIA Rail now offers a discount on all train fares to University staff traveling for business, and is also applicable for leisure travel. You can purchase your tickets electronically through a McGill VIA Rail landing page where the discount is already in effect. Cost savings from the discounts are already coming in. Go to VIA Rail.
Government of Quebec's Hotel Program
McGill has subscribed to the Government of Quebec's Hotel Program offering employees traveling on university related business reduced rates at many hotels located throughout the Province of Quebec (excluding downtown Montreal).
Travel Risk Assessment Program
As part of the TMP, a Risk Program is being developed and a Risk Mitigation Committee has been formed.
Travel Management Companies (TMCs also known as Travel Agencies)
To expand the options available to our travelers and increase access to airline contracts, three TMCs have been designated and are available to our travelers, payment with your FOAPAL is available with all three:- House of Travel/Maison de Voyages, Vision and Uniglobe Lexus.
