Thesis Instructions for Supervisors

  1. When you login to the Minerva Thesis Supervisor form (under the Faculty tab), you will see a list of all of your students who are eligible to upload the final copy of their thesis.
  2. You can download a copy of each student’s thesis by clicking on the Student ID and then clicking on the “Download” button.
  3. You can approve or reject an thesis whose status is “Submitted for Approval”.
  4. If the Thesis Status indicates "No Thesis Found", the student has not uploaded a copy of the thesis.
  5. When you click on the Student ID, you will be shown more detailed information on the student, including the decisions of any co-supervisors. Please note that any changes to the Thesis Details (language, abstracts, and UMI code) can only be done by the student. Only the student can make changes to the Thesis Details; in order to have the student make these changes, you will have to reject the thesis.
  6. To approve the thesis, select "Accept" from the dropdown menu and then click the "Submit" button. Please note that after making this decision you will not be able to change it unless you contact thesis.gps [at] mcgill.ca (GPS). Once you choose “Accept” and click "Submit", an e-mail will be automatically sent to the student informing them that you have approved the thesis.
  7. To reject the thesis, select "Reject" from the dropdown menu. A text box will appear in which you can enter comments, briefly explaining the reasons for rejection; click “Submit" when you are done. Please note that there is a restriction on the amount of text you can enter. If there is a large of amount of text to enter, please write "Please see e-mail" and e-mail that text to the student instead. The student will be able to view these comments when they log in to Minerva. If you are a co-supervisor, and the other co-supervisor has approved the thesis, rejecting the thesis will reset your co-supervisor's decision to "Unprocessed," and they will have to make a decision on the version that the student has revised in response to your rejection. Please note, once you make a decision to reject the thesis, you will not be able to change your decision unless you contact thesis.gps [at] mcgill.ca (GPS). Once you choose “Reject” and click "Submit", an e-mail will be automatically sent to the student informing them that you have rejected the thesis.
  8. Once you have accepted an thesis, or, in the case of co-supervision, all co-supervisors have accepted the thesis, GPS will review the thesis and either approve it or reject it. If GPS approves the thesis, it will be transferred to the Library. If GPS rejects the thesis, you and the student will receive an e-mail stating which changes need to be made. The student must make the changes and the approval process begins again.
  9. You can monitor the Thesis Status changes of your students by logging into the Minerva form at any time. Once the thesis has been approved by GPS, however, the student's name will no longer appear on the list.
