Effective Monday, March 1st : Finance Accounts Receivable - New Policy, Processes and Forms

Dear Colleagues,

 

Following recommendations made by the Finance AR Process Improvement Committee and upon consultation with various Finance AR Stakeholders, we are pleased to inform you of our new streamlined processes and forms that take effect Monday, March 1st, 2021.

 

What is New?

  • A comprehensive web page is dedicated to Finance Accounts Receivable in the Financial Services website - Guide to Financial Management.
  • This comprehensive web page includes the following new documents that will assist Billing Departments:
  • Checklist Prior to Billing
  • Flowchart of Steps to Follow Prior to Billing
  • Options for Billing Options Department Process

 

What are the Benefits to Billing Departments?

  • To alleviate Billing Departments with respect to sales tax assessments, the Sales Tax Assessment Questionnaire will automatically provide the sales tax assessment.
  • To reduce the number of forms to be submitted, a Billing Questionnaire was developed. This will also ensure that you have all documentation required to comply with all of McGill’s Policies.
  • A standard Quotation Template is now available.
  • When Billing Departments have an active Client ID and Detail Code and simply want to submit a new PO, the form Submit a new PO or Revised PO/Quotation was created.
  • Arforms.finserv [at] mcgill.ca will be the main point of contact to respond to inquiries and requests/forms.

 

Please note: The following forms will removed by end of day Friday, February 26th: Request for AR Client, Request for AR Client ID via PO, and Request for Detail Code

 

We would like to thank the Finance AR Process Improvement Committee comprised of members from Faculties (Medicine, Science, Education, Dentistry, Desautels Faculty of Management, and School of Continuing Studies) and Central Administrative Units (Athletics, Ancillary Services, Facilities Management and Student Housing and Hospitality Services).
