Dear Colleagues,

Welcome to the new internal web space for updates about our New Facility! This space has been created to keep the Faculty of Dentistry Team up-to-date on weekly progress concerning the New Facility project. You will be able to consult this page at any time to stay informed. Our goal is to provide updates every 1 to 2 weeks. The latest information as well as the link to this space will also be available in the E-flash for your convenience. Needless to say, this is a very exciting time for all of us in the Faculty.

Our move has begun!

The faculty’s Dean area, Student Affairs, CE and Admissions are moving this Friday to our new location at 2001 McGill College. Please note these divisions are off on Friday due to the move. Staff will be operating from the new location as of Monday and settling in. (Thank you for taking into consideration that Monday will be a day during which phones and computers are being set up. If you are attempting to reach anyone, please allow for possible delays).

  • The CBCT vendor has been chosen
  • Pre-move site visit by moving company
  • Consultation with teaching staff regarding learning spaces
  • Selection of vendor for design of audio visual services. Applied Electronics was chosen.
  • Inventory of special software on computers

  • Consultations regarding office allocations arecomplete
  • Inventory of the following items continues:
    • Computers at the MGH, Dean’s area and 3550
    • Pre-clinic items
  • Consultations continue with teaching staff regarding the various classroom/meeting room furniture and configurations.
  • The plans for additional staff (e.g. to cover sterilization and IT needs) continue to be discussed
  • Sterilization processes are being discussed, further consultation will happen soon
  • Consultations regarding the new Patient Management System are underway
  • Consultation for classroom chairs and tables continues with the students
  • Consultation for furniture in the student Lounge is being done with the Students
  • Consultations are occurring concerning the use of new facility space for Faculty Practice and Student Health Services (i.e. the Student Health Dental Clinic currently in the Brown Building)
  • The preclinical lab bench contract is complete
  • The contract for the dental chairs has been signed with A-Dec. They will be delivered in February or early March and installed by March 31st
  • The CBCT tender process closes next Friday
  • X-ray units are in the process of being bought
  • Visits to each location (Strathcona, Pre-clinic, 3550 and MGH) will happen soon with the movers to inspect the moving needs
  • Special computer programs (other than Microsoft Office ) on all computers will be catalogued
  • We are now looking at security and access issues such as keys and id card access locks
  • Recognising the need for students and staff to have easy access to much of the space during evenings and weekends, we are now discussing “open hours” when the space will be active and when it will be down time.

  • The contracts for the sterilization units and A-Dec materials have been finalized
  • Inventory of the following items continues:
    • Computers at the MGH, Dean’s area and 3550
    • Filing cabinets
    • Kitchen items
    • Electronic items
    • Pre-clinic items
  • Consultations continue with Teaching Staff regarding the various classroom/meeting room furniture and configurations. Awaiting on IT for suggested layout and equipment
  • The schedule of the classroom space is complete for the DMD program and fits the available teaching spaces. Graduate courses and Continuing Education events need to be added
  • The plans for new staff (e.g. to cover sterilization and IT needs) continue to be discussed
  • Sterilization processes are being discussed, further consultation will happen soon
  • Art work throughout the Dean’s area, 3550 and the Clinic will be packed and gathered by the Arts Collection Committee in mid-April. This will ensure preservation of the pieces and proper storage. Once we are in the new facility we will evaluate want pieces we want to bring back in
  • A group visited l’Hôpital Charles Lemoyne, in Longueuil to view the storage system to determine if it is suitable for our needs in the new facility
  • Consultations regarding the new Patient Management System is underway
  • Consultations of the Classroom chairs and tables continues with the Students
  • Consultations is occurring concerning the use of new facility space for Faculty Practice and Student Health Activities (i.e. the Student Health Dental Clinic currently in the Brown Building)

  • We would like to thank everyone for their feedback regarding the office chairs. We appreciate that some would like to keep their own chairs and because of this feedback we gave you the option. The selections of the office chairs are complete and an order will be submitted right away.
  • The quotes for the sterilization units and A-Dec materials have been given. Contracts are being drafted to be signed
  • Inventory of the following items are underway. This inventory will let us know what will be taken and what will be replaced/donated/disposed:
    • Computers at MGH, Dean’s area and 3550
    • Filing cabinets. **Please note to start cleaning up existing filing cabinets. Send items to archives, scan and save in the Shared Folder or discard
    • Kitchen items
    • Electronic items
    • Artwork
    • Pre-clinic items
  • Consultations continue with Teaching Staff regarding the various classroom/meeting room furniture and configurations. IT and the designers continue to work on the plans
  • We are setting the schedule for the classroom space, using the DMD and graduate course schedules, while considering the needs of the continuing education program to ensure we optimize the use of the teaching space in the new  facility
  • The Dean is in discussion with the Provost regarding increase staff needs at the new facility

Latest Activities

  • Consultation regarding office chairs and furniture continues. The office chairs for staff and classroom chairs for students are at the MGH to test them.
  • Final decisions have been made with regard to the finishes, flooring and cabinetry in the clinic – please see photo above Clinic Finishes
  • Colours for the offices on the 5th floor and in Faculty Practice area have been selected – please see photos above (Colour Board and Flooring for the 5th floor)
  • DMD student input has been sought concerning the furnishings for the student lounge and the classrooms – designers are working on a plan and further meetings will be set soon
  • Consultations were held with Teaching Staff regarding the various classroom/meeting room furniture and configurations. IT and the designers are now working on plans
  • We are modeling the schedule for the classroom space, using the DMD and graduate course schedules, while considering the needs of the continuing education program to ensure we optimize the use of the teaching space in the new facility
  • The plans for new staff (e.g. to cover sterilization and IT needs) continue to be discussed
  • Consultations are being done regarding a CBCT machine
  • Consultations are being done regarding the transfer of phone lines

Latest Activities

  • Consultation regarding office chairs and furniture are in the process of being done. People on campus have come to test the chairs recently and in the near future sample chairs will be sent to the MGH for staff there to test them
  • Final decisions are being made with regard to the finishes, flooring and cabinetry in the clinic

  • DMD student input will be sought soon concerning the furnishings for the student lounge and the classrooms
