Notices of Termination / Notices of Status Change

The PDF icon Notice of Termination / PDF icon Notice of Status Change must be completed and submitted by unit administrators to record academic staff departures or retirements. Please use the electronically-fillable form, and submit a PDF copy via email for each staff departure to academic.personnel [at] mcgill.ca (Academic Personnel Office) and to hr.hr [at] mcgill.ca (HR Shared Services).

Departments must route these forms via the Dean’s office for Faculty approval before sending them to HR or APO.

 

Departure Types and What Process to Follow

There are several departure types for terminating academic or librarian staff. Please review the Process Page, and after you have done this, send the required documents and/or an email to the Academic Personnel Office.

Death:

• attach the Notice of Termination.

Non-Renewal (TT during reappointment process):

Reappointment of Tenure-Track Academic Staff Email the academic.personnel [at] mcgill.ca (subject: NEW-TT-STAFF-Departure%20Request%20for%20--) (Academic Personnel Office)
• attach the Notice of Termination
• attach the letter of resignation and/or the letter from the Provost & Vice-Principal (Academic) to the staff member indicating non-renewal.

Non-Renewal (TT Librarian during reappointment process):

Reappointment of Tenure-Track Librarian Staff Email the academic.personnel [at] mcgill.ca (subject: NEW-TT-LIBRARIAN-Departure%20Request%20for%20--) (Academic Personnel Office)
• attach the Notice of Termination
• attach the letter of resignation and/or the letter from the Provost & Vice-Principal (Academic) to the staff member indicating non-renewal.

Non-Renewal or Departure (CAS):

CAS Approvals - Departures Email the academic.personnel [at] mcgill.ca (subject: NEW-CAS-DEPARTURE-CAS%20Staff%20Departure%20Request%20for%20--) (Academic Personnel Office)
• attach the Notice of Termination
• attach the letter of resignation and/or the letter from the Provost & Vice-Principal (Academic) to the staff member indicating non-renewal.

Non-Renewal or Departure (NTT Librarian):

CAS Approvals - Departures Email the academic.personnel [at] mcgill.ca (subject: NEW-NTT-LIBRARIAN-DEPARTURE-NTT%20Librarian%20Staff%20Departure%20Request%20for%20--) (Academic Personnel Office)
• attach the Notice of Termination
• attach the letter of resignation and/or the letter from the Provost & Vice-Principal (Academic) to the staff member indicating non-renewal.

Retirement Procedures:

Retirement Procedures Email the academic.personnel [at] mcgill.ca (subject: NEW-RETIREMENT--TT%20Departure%20Request%20for%20--) (Academic Personnel Office)
• attach the Notice of Status Change
• attach the letter from the staff member indicating intent to retire
• attach the Dean's and the Chair's letters of support.

Severance (CAS):

Severance of Contract Academic Staff Contact the Human Resources Specialist Services at 514-398-2491 for assistance.

Voluntary Resignation:

Resigning Email the academic.personnel [at] mcgill.ca (subject: VOLUNTARY-RESIGNATION-%20for%20--) (Academic Personnel Office)
• attach the Notice of Termination
• attach the letter of resignation, if one was obtained.
