Exam Scoring & Scanning Info for Instructors

Dear Colleagues,

We are writing to inform you of changes in the Exam Office of Enrolment Services, pertaining to multiple choice exam scoring support, beginning with the December 2013 final exam period.

The current Scantron multiple choice exam scoring system has reached end-of-life and is being replaced. The Exam Office will be implementing a new multiple choice exam scoring solution with new black and white multiple choice answer sheets.

What to expect for exam scoring:

A. Fall 2013 midterm exams: No change. Please continue to use the current red and white Scantron answer sheets.

B. December 2013 final exams:

    • Exam answer keys (all multiple choice exams): Please submit your answer keys to the Exam Office at the same time you submit your final exam for printing (Exam printing deadlines and other necessary details were sent to all Course Coordinators on Oct. 23).
    • Exam answer keys on new black and white answer sheets (specific multiple choice exams only): The Exam Office will contact specific Course Coordinators beginning the week of October 28 in departments whose courses have been identified for the switch to the new black and white answer keys. If your department is not contacted, please provide your answer keys on the current red and white Scantrons, as usual.
C. Beginning in  January 1, 2014:
  • Only black and white answer sheets will be scored.
  • Due to significant improvements to the statistical reports, we believe that multiple choice exam scoring can be limited to two runs:
    • Your reports will be available in Minerva after the first run. Once you have reviewed the content, you can examscoring [dot] es [at] mcgill [dot] ca (email) us any changes, which will be included in the second run. Refreshed reports will be available in Minerva after the second run.
    • Should you wish to create your own statistical reports we can provide you with a .csv file of the data, on request.
D. Timelines and Communication:
  • Expected turnaround for exam scoring: 2-3 working days from the date of your final exam.

 Service description

The Exam Office of Enrolment Services provides exam scoring services for exams or research projects that are composed of multiple-choice questions, and submitted on red and white Scantron answer sheets.  IMPORTANT: The Exam Office is in the process of implementing a new exam scoring solution and will be switching to black and white answer sheets (exclusively) beginning in January 1, 2014. For more information see the communication sent out on Oct. 30, 2013.

Expected turnaround for exam scoring is 2-3 working days from the date of your final exam. Note that exams are processed on a first-come, first-served basis.

Submitting an exam for scoring

Complete an Exam Scoring Request Form (available at the Exam Office) and leave the white and yellow copies duly completed, along with the exam answer key and completed answer sheets.

NOTE: We need an answer key for every version of the exam.

After you submit the exam, you will receive an email at your McGill e-mail address to advise you that the exam scoring has been completed and statistical reports are ready for viewing and download in Minerva. To view a sample (does not contain real data) of the statistical reports click here.

We ask that you pick up your answer sheets within 2 weeks after exam scoring has been completed. Note that you must bring the pink copy of the Exam Scoring Request form when picking up the answer sheets.

During the exam:

Students must use a lead pencil to mark their answers and not ink. They must blacken the entire circle and completely erase any mark they wish to change. When submitting an exam for scoring:

  • Make sure the answer sheets are clean and not crumpled.
  • Makes sure all the answer sheets are facing the same direction. (This is your responsibility)
  • The answer key (the answer sheet with the correct responses) should be the first sheet(s).

Drop off and pick up instructions:

When you are ready to have your exam/questionnaire scored, please bring your exam answer key and answer sheets to the Exam Office at the address below between 9 am and 5 pm, Monday to Friday.
