After notification that a CFI project has been funded, McGill must provide an updated Itemized List and Summary of Secured Contributions. Project Leaders will be contacted about the process shortly after board decision and given instructions how to proceed. In brief, Project Leaders must address any partial or conditional funding decisions, produce updated quotes of items greater than $100k, and in the case of interinstitutional projects, enter into an interinstitutional agreement with partners.

CFI funds must be used to purchase or develop the specific infrastructure project and to cover the specific eligible costs agreed to by the CFI and laid out in the Itemized List submitted upon award finalization. The CFI may consider and approve changes to the project and budget. Significant changes must be communicated to CFI through the Strategic Initiatives unit of the Office of the Vice Principal - Research and Innovation.
Significant changes to infrastructure (as presented in the itemized list) require prior CFI approval.
Please complete a CFI Change Request Form and return it to your fund administrator (Research Financial management Services - RFMS) or Strategic Initiatives Grants Officer.
Changes to the end date of a CFI project
An anticipated change to the end-date of a CFI Project requires prior CFI approval. Please complete a CFI Change Request Form and return it to your fund administrator (RFMS) or Strategic Initiatives Grants Officer.
Change in location, nature, or amount of space constructed/renovated
Project Leaders must inform the Strategic Initiatives unit in a timely fashion for anticipated changes in the location, nature, or amount of space constructed/renovated.
Change in location of a major infrastructure item
Project Leaders must inform the Strategic Initiatives unit in a timely fashion for anticipated changes in the location of a major infrastructure item.
Change in Project Leader
If you are a CFI Project Leader leaving McGill, please inform the Strategic Initiatives unit as soon as possible. We will facilitate the designation of a new Project Leader to oversee the infrastructure.
An annual CFI Progress Report is required for all funded CFI projects for the five years following finalization of the award (when the award agreement was issued). This Progress Report (reviewed by the Strategic Initiatives unit) is distinct from the annual CFI Financial Report (requested by Research Financial Management Services, if necessary).
These reports are due in June of each year. CFI Project Leaders required to complete reports will be contacted in April of the reporting year and given instructions.
