Position Title: 
Administrative Coordinator (ADMEX)
Position Summary: 
Under the direction of the immediate supervisor, provides administrative and secretarial support. Participates in ensuring the smooth functioning of the unit's operations. Acts as resource person for policies and procedures. Administers unit accounts. Assists in the organization of unit activities. Responsible for documents and files of the unit. Maintains computerized information systems.
Primary Responsibilities: 
  • Reporting to the Social Equity & Diversity Manager, the incumbent administer activities in support and maintenance of SEDE's financial, administrative and communication infrastructure in accordance with established goals and objectives.
  • Provide technical and administrative support to unit members. Provide information to staff concerning University personnel policies and procedures. Co-ordinate, implement and maintain administrative processes (appointment forms preparation, attendance recording, casual payments, account payments, preparing expense reports, etc.) in accordance with University policies and procedures.
  • Participate in developing SEDE’s promotional strategy.  Maintain communication tools on social media platforms, including, but not limited to web, Facebook, Twitter, Flickr and YouTube. Assist with conceptualization, graphic design development and organization of events such as the Anti-Discrimination and Awareness campaigns.
  • Develop and maintain a database/catalogue of resource materials including institutional documentation to be made available to clients and to be used at presentations. Create drafts (annual reports, press releases and different communication materials) for SEDE.
  • Organize office meetings, record notes of meeting and follow up as required. Coordinate agenda of the Manager. Meet callers and provide telephone support services to the unit.
Minimum Education & Experience: 

DEP

Five (5) years' related experience

Other Qualifying Skills And/Or Abilities: 
Demonstrated ability to build constructive work relationships. Strong problem-solving, diplomacy and organizational skills. Experience working with international students and clientele; knowledge of social equity matters and experience with community involvement. Excellent oral and written communication skills and strong research experience (internet research, researching website content, etc). Demonstrated graphic and web design abilities. Demonstrated ability to perform finance and budget functions and to set up new office procedures and systems. Proven background using software, including word-processing, spreadsheets, presentations software and databases (Banner). English and French (spoken and written), Other languages an asset.
