Room Request Form

Processing a Room Request

Please allow a MINIMUM of 2 working days for processing.

In order to use a general purpose classroom in any building on campus during the fall, winter and summer sessions, a request MUST be submitted through the Room Request Form.

During the months of September and January requests will be processed only after the course add/drop deadline due to adjustments being made to courses on Minerva Class Schedule which has priority.

Please note the following:

  • If instructors are making changes to the schedule of their course(s) (lectures/tutorials/labs), they MUST go through their Departmental Scheduler.
  • If you decide to use a room without making an official booking, you may be asked to leave the room for an official event.
  • Food and beverages are NOT permitted in any classroom. Rooms must be left in their original condition. If a room is found in disarray after a booking, you may be liable for cleaning services.
  • After 6:00 pm, classrooms fall under the jurisdiction of the Centre for Continuing Education and may not be available.
  • Room requests for activities, groups, clubs, or associations must be made via the Events Coordinator OR the S.S.M.U.

Submitting a Room Request

  • Must be sent using the Room Request Form (See below)
  • For course activities during the term, (ex. midterms, quizzes, class tests, extra or optional tutorials) requests should be submitted to the Departmental Scheduler.
  • Weekend room requests require additional information.

Room Request Form for non-course Related Activities

Please allow a MINIMUM of 2 working days for processing.

  • All Minerva class schedule activities must be sent to your departmental scheduler. (eg. midterms, extra tutorials, lecture/tutorial, room changes)
  • Adjustments to the Minerva class schedule have priority in September and January, so responses to a room request during these times may take more time.
  • Include the purpose of your event in the comments section. (eg. Design Team name)
  • If you have any special room requirements, add them in the comments section. (eg. Videodata projector)
