Advertising Academic Positions
All tenure-stream and ranked contract academic staff positions must be advertised according to the guidelines below.
These guidelines apply to temporary and permanent positions and must be followed to demonstrate that the University has undertaken an extensive search to ensure that qualified Canadians are considered for the position.
These guidelines satisfy the requirements of Human Resources & Social Development Canada (HRSDC) and the Canadian and Quebec Immigration Departments.
Minimum Requirements
The minimum advertising requirements are:
(a) One advertisement in University Affairs OR the CAUT Bulletin;
(b) A letter sent to department heads of at least ten similar departments in Canada, if possible;
(c) An advertisement in a Canadian professional journal or association website, where feasible.
Web-based advertising is acceptable as primary documentation. Please keep and include copies of your proof of payments for the adverts (including duration paid for) when forwarding them to our office. Print-outs of web-based adverts MUST have publication dates and the URL clearly visible.
NOTE on Advertising in International Publications
Advertising may be carried out in international and foreign publications simultaneously with Canadian advertising, provided that the Canadian advertising requirements above are met.
Coding of Advertising Information
The advertisement must specify the following:
- University
- Faculty or Department
- Title of position
- Qualifications required
- Nature of duties
- Salary. If not indicated, salary will be negotiable, according to qualifications and experience
- Persons to whom inquiries should be addressed
- Duration of the appointment and whether it is tenure-track
- Deadline for receiving applications.
NB: There is a mandatory one-month waiting period for receipt of replies.
Immigration Statement
The advertisement must include the following immigration statement:
English
"All qualified applicants are encouraged to apply; however, in accordance with Canadian immigration requirements, Canadians and permanent residents will be given priority."
Français
"On encourage tous les candidats qualifiés à postuler; veuillez notez que conformément aux exigences de l'immigration canadienne, la priorité sera toutefois accordée aux Canadiens ainsi qu'aux résidents permanents."

Additional Information Pertaining to CAS Positions only
Adjunct Classifications
Adjunct positions do not normally need to be advertised as Adjuncts are not normally located at McGill or paid by McGill . Where this is not the case, please contact the Immigration Coordinator at telephone (514) 398-5538 to ascertain what advertising and/or immigration services are required.
Visiting Classifications
Visiting academic staff positions do not need to be advertised. Please note that according to Immigration Canada regulations, visiting professors will not obtain a work permit for longer than 2 years.
Summer Session
Simplified advertising procedures may be used for Summer Session. To satisfy immigration requirements, it is mandatory to canvass all similar Canadian departments in writing. However, it is not necessary to place advertisements in University Affairs and the CAUT Bulletin.
Advertising Template
Hiring units may wish to use a University Template in advertising new positions. The template is on file at University Affairs and at the CAUT Bulletin.

Other Publications |
For all other publications, IMS can arrange a transfer of the template once the ad specifications (number of columns per page, column width, etc) are known.

AUCC and CAUT |
Prices vary according to the length of your text. Each PDF file has a guideline as to how much a standard advertisement would cost. Final costs must be worked out between you and CAUT/AUCC depending on your text's length. You will not be paying for the design of this template. |

You do not pay for the design of this template. The PDF files linked to this website show approximate rates for AUCC and CAUT. Final costs must be worked out between you and the publication you will be using, depending on the length of your ad text. | |
Viewing the Template |

Only the AUCC has provides examples in PDF format with current rates. This PDF file is just an example, so don't be put off by the Latin in the body text. (It's all Greek to me!) The CAUT templates are most likely very similar. The CAUT PDF does not have any examples of the adverts themselves, but does give the rates for different ad sizes. |
