Vacation Entitlement for Academic Staff

The reference year for vacation purposes is from June 1 to May 31. During the reference year a staff member progressively acquires entitlement to a period of vacation.

Vacation earned by a staff member during a reference year is vested as of the end of that reference year.

The vacation vested in an employee must be taken in full within twelve (12) months following the end of the reference year in which it is earned.


Tenure Track and Tenured Academic Staff and Ranked Contract Academic Staff

The following applies to members of the academic staff appointed in accordance with the Regulations Relating to the Employment of Tenure Track and Tenured Academic Staff, and to ranked academic staff appointed in accordance with the Regulations Relating to the Employment of Contract Academic Staff.

Vacation is to be taken at a time when it does not interfere with teaching, and must be confirmed in advance with the academic unit head(s).

  1. Academic staff employed continuously for one full reference year or more are entitled to vacation of one month.
  2. Academic staff employed for less than one full reference year are entitled to vacation calculated at one day for each month worked for a total vacation period of not more than two (2) consecutive weeks, or 10 vacation days.
  3. For part-time staff, and those on reduced load, vacation entitlement is pro-rated.

Academic Librarian Staff

The following applies to members of the academic staff appointed in accordance with the Regulations Relating to the Employment of Librarian Staff.

Vacation is to be taken at a time when it does not interfere with the delivery of library and information services to the University community, and must receive prior approval of the supervisor. Supervisors must record all vacation days taken by academic librarian staff.

  1. Academic librarian staff who have held an appointment for one reference year or more are entitled to 22 days vacation per year.
  2. Academic librarian staff who have held an appointment for less than one full reference year are entitled to prorated vacation based on 22 days per year.
  3. Associate Librarians or librarians who have attained 10 years of continuous service are entitled to 25 days vacation per year.
  4. Full Librarians or librarians who have attained 20 years of continuous service are entitled to 27 days vacation per year.
  5. Long serving members of the academic librarian staff on staff as of May 31, 2008 are “grandfathered” at their current vacation entitlements.

Non-Unionized Unranked Academic Staff

The following applies to members of the academic staff appointed in accordance with the Regulations Relating to the Employment of Contract Academic Staff.

Vacation shall be taken with the prior approval of the staff member’s immediate supervisor. Supervisors must keep written records of vacation days.

  1. A staff member employed continuously for one full reference year or more is entitled to vacation of two consecutive weeks, or 10 working days
  2. A staff member employed continuously for less than one year is entitled to a vacation period calculated at one day per month worked, to a maximum of two (2) consecutive weeks, or 10 working days.
  3. For part-time staff, and those on reduced load, vacation entitlement is pro-rated.
  4. Staff who have worked continuously for the University for five years are entitled to three weeks vacation, or 15 working days.

Unionized Academic Staff

Vacation entitlement is in accordance with the relevant collective agreement. Vacation shall be taken with the prior approval of the staff member's immediate supervisor. Supervisors must keep written records of vacation days. Where no collective agreement has been concluded, vacation entitlement is in accordance with the relevant employment contract.
