Regulations

Dates and Deadlines
Staff Members
According to article 5.3.1 of the Regulations on Sabbatic Leaves (For Tenure-Track/Tenured Academic and Librarian Staff) a staff member shall forward an application for sabbatic leave for the following academic year to the departmental Chair (or Dean in faculties without departments) or Director of Libraries by October 1st of the year preceding the leave.
In cases where a staff member is appointed in more than one department, the application for sabbatic leave shall be submitted to all relevant Chairs and forwarded to the appropriate Dean or Deans.
Sabbatic Leave Application Deadline
Staff members should take note that late applications will only be considered where the failure to apply by October 1st is attributable to exceptional circumstances.
Provost's Notification
Once the Provost has received the approved file from the Dean's office, and a decision has been rendered, all persons will be notified by January 7th of the year following submission of the application if the decision is tending to negative, so that thorough additional consultations may occur.
All applicants will be notified of the final decision by January 31st.
Research Grants and Sabbatic Leaves
The University gives sabbaticants the opportunity to take advantage of income tax regulations which allow the University, under certain conditions, to award a research grant from funds that would normally be paid as salary to staff on leave.

Procedures Regarding Sabbatic Leave Deferrals
- If the deferment is for more than 2 years it is customary for a new application to be submitted in accordance with the normal “schedule”.
- If the deferrment is for two years or less the applicant does not need to resubmit a complete application but must signal in a letter or memorandum to their chair/director (and dean) any relevant new information including of course the new dates for the leave, change in plans, etc. However, the chair/director (and dean) must complete their part of the application form in which they signal their support (or not) for the leave.
