Vacation Policy for Academic Staff

Academic Teaching Staff

  1. Tenure-track academic teaching staff appointed for one exact year or more than one year are entitled to a vacation of one month, to be taken at a time when it does not interfere with teaching. Article 3.1 of the Regulations Relating to the Employment of Academic Staff indicates that as a minimum, staff should be available from "...the first day of September to the day following the spring convocation."
  2. Full-time and Part-time Ranked Contract Academic Staff appointed for one exact year or more than one year are entitled to a vacation of one month, to be taken at a time when it does not interfere with teaching. Articles 2.2 and 5.7.1 of the Regulation Relating to the Employment of Contract Academic Staff clarify when a staff member should be available during the academic year.
  3. Full-time and part-time members of the academic teaching staff appointed for less than one year are entitled to a vacation of one day for each month worked, to be taken at a time when it does not interfere with teaching.

Academic Librarian Staff

Effective: 01-Jun-2011

  1. All full-time and part-time members of the academic librarian staff who have held an appointment for one year or more than one year are entitled to vacation based on 22 days per reference year.
  2. All full-time and part-time members of the academic librarian staff who have held an appointment for less than one year are entitled to prorated vacation based on 22 days per reference year.
  3. All full-time and part-time members of the academic librarian staff who are promoted to Associate Librarian or who attain ten years of service are entitled to vacation based on 25 days per reference year.
  4. All full-time and part-time members of the academic librarian staff who are promoted to Full Librarian or who attain 20 years of service are entitled to vacation based on 27 days per reference year.
  5. Vacation entitlement is earned in one reference year to be taken in the following reference year. The reference year is defined as the twelve-month period from June 1 of one year to May 31st of the following year. Vacation is not cumulative. It must be taken in the reference year after which it is earned.
  6. Long serving members of the academic librarian staff on staff as of May 31, 2008 will be “grandfathered” at their current vacation entitlements.
  7. Vacation shall be taken at a time when it does not interfere with the delivery of library and information services to the University community and with the prior approval of supervisors.
  8. Supervisors must record all vacation days taken by academic librarian staff.

Academic Research and Professional Staff

  1. Research and professional staff with academic classifications are governed by the Labour Standard Act. Such staff are entitled to a minimum of two weeks vacation after their first year of work. If they have worked less than a year, they are entitled to a vacation of one day for each month worked to maximum of two weeks.
  2. When research and professional staff have worked continuously for the University for five years, they are entitled to three weeks vacation.
  3. It is the responsibility for the supervisor to schedule vacation for research and professional staff, and to advise those staff members of the schedule four weeks in advance of the commencement of their vacation, in writing.
  4. Supervisors must keep written records of vacation days.
